CHECK-IN STATION PROCEDURE MANUAL

  • Retrieve the “LOBBY” iPad from inside the right-most cabinet door.
  • If needed, all iPad PINs are either 1234 or 123456.
  • Open the “Check-In” app if it’s not already open.
  • Ensure that all stations are showing the desired event (e.g. Sunday Morning, Wednesday Night)
      • If it says “This Station Is Currently Locked To…” simply close the app by double clicking the home button and then swiping Check Ins upward. Now you may relaunch the app and the desired event should be visible.
  • Make sure that every printer is powered on.
      • All printers should have a green light to the left of the display that is either steady or flashing.
      • If a printer is not powered on, press and hold the POWER button. 
  • Verify that each station is connected to its respective printer.
      • If connected, you will see a small printer icon in the bottom right corner of the screen.
      • If there is an error, the printer icon will be replaced by a yellow triangle.
          • See SECTION C: TROUBLESHOOTING for more information.
  • Confirm that each printer has a roll of labels.
      • If labels are out or running low:
          • Lift up the dark gray lid of the printer.
          • Lift up the current label roll along with black plastic mounts on either side; pull remaining labels backward out of feed mechanism if needed.
          • Once the roll is removed, remove plastic mounts from roll by pulling apart from either side of the roll. Note that these pieces will be reused.
          • Unwrap and remove sticker from new roll.
          • Some labels are already attached to black plastic mounts. If the new roll does not have black plastic mounts already attached on both sides:
              • Locate both sides of the black plastic mounting in the cabinet.
              • This is the most tedious step. The mounts will only fully align one way, but will fit together when placed correctly.
              • The end of the new roll should lay over the top of the roll, not come out under the bottom of the roll. Just like the way toilet paper should be. ;-P
    • If a roll is almost empty, it may be desirable to change it early.
    • Changing rolls can be tricky. Use the following process:
        • Drop the mounted roll into the printer, being careful to align the mounts with the channels inside the printer.
        • Manually push the end of the labels through the feed mechanism / opening until some paper comes out the front of the printer.
        • Close the lid of the printer.
        • On the printer, press and hold the button with the scissors icon on the printer to dispense a little bit of the new roll.
        • Click the same button (scissors) to cut off excess paper.
        • Print a Test Label to confirm that the printer is working.
            • Click on the Printer icon on the bottom right corner of each check-in station.
            • Click “Print Test Label” (toward the middle of the menu screen).
  • We use two kinds of stations for Check-Ins: Self Stations and Manned Stations.
      • Self Check-In Stations
          • Self Check-In stations are the iPads on the counter in black metal cases
              • Parents can Check-In their own children by typing in their phone number. The last four digits usually works just fine.
              • Parents check which children are attending the given event, and then select which adult is dropping off the children.
              • If a printer issue prevents the parent from receiving all of their labels, please direct the parent to a working station to check-in all of the children again. Destroy any labels that printed the first time. 
      • Manned Check-In Stations
          • Any first time guests must check-in with a team member at a Manned Check-In station. 
          • Manned Check-In stations are the iPads in the gray keyboard cases stored inside the far right cabinet to charge. 
          • The iPad labeled “Fellowship Hall Check-In Station” should be used; the iPad labeled “Lobby Check-In Station” is available as a backup. 
          • Manned Check-In stations work much like the Self Check-In stations, but are more powerful. 
              • The search bar allows you to search by name, phone number, or security tag number. 
              • You can manually assign children to classrooms as needed. Typically children are automatically filtered into classrooms (“Locations”) based upon age or grade level. 
              • We occasionally need to override these settings; this typically occurs in the preschool classrooms where we prioritize the child’s development over strict age gating.
              • Any fields highlighted in yellow during the check-in process indicates that required information is missing. Please collect this information and update these fields during the check-in process.
              • Lost or forgotten security tags can be looked up via security code to determine who checked-in the child.

  • The iPad can’t find the printer / there is a yellow triangle on the iPad where the printer icon should be.
      • Make sure that both the printer and the iPad are connected to the TCO_IoT wifi network. It sometimes takes up to 60 seconds for this network to become visible. 
          • If this network does not appear, you can manually connect by adding the SSID/WiFi network TCO_IoT and using the password Ode55a1812
      • PRINTER TROUBLESHOOTING:
          • Is there a green light on the face of the printer (either steady or blinking)?
          • If not, press the power button on the left side of the printer.
          • If that has no effect, make sure that the power cord is plugged into the back of the printer. (It is the only cable connected to the printer.)
      • IPAD TROUBLESHOOTING
          • Open settings on the iPad.
          • Select “WiFi”
          • Make sure that the iPad is connected to the network TCO_IoT.
              • If this network does not appear, you can manually connect by adding the SSID/WiFi network TCO_IoT and using the password Ode55a1812
              • It occasionally takes up to 60 seconds for this network to become visible.
          • Return to the Check-In App to see if the printer has reconnected.
          • If not, use the menu options on the PRINTER to ensure that Bluetooth is off.
          • Ensure that there is a WiFi icon on the PRINTER screen.
          • Make sure the printer is powered on.
          • If all else fails, press and HOLD the leftmost button on the Printer to turn it off and then press again to turn it back on. Restart the iPad by pressing and holding the power button on the side to power off, then pressing again to power back on. Confirm both WiFi networks once more.
          • If needed, the Wifi Network's SSID is TCO_IoT and the password is Ode55a1812
  • I’m getting a printer error that tells me that the wrong print roll is selected.
      • This happens occasionally for some unknown reason.
          • In the Check-In app, select printer settings and select “Set Manually.”
          • “62 mm Black Continuous” and “62 mm Black/Red Continuous” both work; toggle to the other option between the two.
          • Back out and select “Print Test Label” to confirm that the devices are set up properly.
  • The iPad does not have a WiFi connection.
      • Open settings on the iPad, select WiFi, and make sure it is enabled.
          • The iPad should immediately reconnect to TCO_IoT
          • If it does not, wait about 60 seconds for TCO_IoT to appear as an available network and connect to it.
          • If this network does not appear, you can manually connect by adding the SSID/WiFi network TCO_IoT and using the password Ode55a1812
  • I can’t see the desired event.
      • If the station says “This Station Is Currently Locked To…” simply close the app by double clicking the home button and then swiping Check Ins upward. Now you may relaunch the app and the desired event should be visible.
  • Feel free to power off the iPad and utilize the other stations.
  • If the Manned Check-In Station (Fellowship Hall) is down, switch to the backup (Lobby).
